Job Overview

We are looking for an exceptional Executive Assistant to provide comprehensive administrative support to our C-suite executives. The ideal candidate will be a proactive problem-solver with excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. This role requires a deep understanding of the automotive manufacturing industry, strong communication skills, and the ability to handle confidential information with discretion.

Key Responsibilities
  • Schedule Management:
    • Manage complex calendars for multiple executives, including scheduling meetings, appointments, and travel arrangements
    • Coordinate and organize internal and external meetings, including preparation of agendas, materials, and follow-up actions
    • Prioritize and manage conflicting schedule demands
    • Ensure executives are well-prepared for all engagements by providing necessary information and materials in advance
  • Administrative Support:
    • Manage incoming and outgoing correspondence, including emails, phone calls, and mail
    • Draft, proofread, and edit various documents, including reports, presentations, and memos
    • Maintain organized and efficient filing systems, both digital and physical
    • Coordinate travel arrangements, including flights, accommodations, and itineraries
    • Process expense reports and handle reimbursements
    • Manage office supplies and equipment for the executive team
  • Manufacturing Industry Support:
    • Assist in coordinating factory visits and tours for executives and VIP guests
    • Liaise with various departments to gather and compile production reports, quality metrics, and other relevant data for executive review
    • Help organize and coordinate executive participation in industry events, trade shows, and conferences
    • Stay informed about industry trends, competitor activities, and market developments to provide relevant updates to executives
  • Project Management:
    • Assist in managing special projects and initiatives as assigned by executives
    • Track project milestones, deadlines, and deliverables
    • Coordinate cross-functional teams and facilitate communication between departments
    • Prepare and distribute project status reports and updates
  • Meeting and Event Coordination:
    • Plan and execute executive-level meetings, including board meetings, leadership retreats, and strategic planning sessions
    • Coordinate logistics for company-wide events, product launches, and client presentations
    • Manage guest lists, invitations, and RSVPs for corporate events
    • Arrange catering, audiovisual equipment, and other necessary resources for meetings and events
  • Communication and Liaison:
    • Act as a liaison between executives
