Job Description
Position Summary:
The Title Clerk is responsible for ensuring the accurate and timely processing of vehicle titles and registration paperwork for both in-state and out-of-state deals. This position works closely with the sales team, lenders, tag agencies, and DMV offices to ensure compliance with state regulations and company policies.
Key Responsibilities:
Prepare and process all title and registration documents for new and used vehicles sold.
Submit title paperwork to appropriate state and county agencies in a timely manner.
Process vehicle payoffs and obtain lien releases when necessary.
Verify accuracy of all vehicle purchase contracts and paperwork prior to submission.
Maintain a working knowledge of title requirements in multiple states, as needed.
Track and follow up on outstanding titles and resolve any issues or discrepancies.
Ensure proper documentation is submitted for vehicle sales involving trade-ins, leases, payoffs, and wholesale transactions.
Maintain accurate logs and title status reports.
Communicate effectively with lenders, tag agencies, and internal team members to ensure completion of all title work.
Assist in resolving title-related issues or escalations.
File and maintain title documents, including scanning and digital storage.
Perform other duties as assigned to support the dealership operations.
Accounting Support Duties:
Receipt checks and funds received for vehicle purchases, payoffs, and other transactions accurately in the DMS.
Submit all invoices related to title work (e.g., tag fees, courier services, DMV payments) to accounting for payment processing.
Ensure all payments are coded and submitted with appropriate documentation and approvals.
Reconcile daily payments and transactions related to titles and tag processing.
Assist the accounting team with month-end title-related reconciliations and reporting.
Qualifications:
High school diploma or equivalent required; associate degree preferred.
1–2 years of experience in automotive title processing or DMV documentation preferred.
Strong knowledge of state and federal title and registration requirements.
Exceptional attention to detail and organizational skills.
Ability to prioritize tasks and meet strict deadlines.
Proficient in Microsoft Office and dealership management software (CDK, Dealertrack, DLR, DLR50, etc.).
Strong communication skills and a professional demeanor.
Ability to work independently and as part of a team.
