Job Summary:
The Remote Appointment Scheduler will be responsible for managing patient scheduling needs efficiently and professionally. This role involves handling incoming calls, scheduling and confirming appointments, updating patient records, and coordinating with clinical staff to ensure smooth patient flow. The ideal candidate will have strong communication skills, attention to detail, and the ability to provide excellent customer service in a fast-paced dental environment.
Key Responsibilities:
Answer and manage inbound calls, emails, and messages related to appointment scheduling.
Schedule, reschedule, and confirm patient appointments in accordance with office policies and provider availability.
Update and maintain accurate patient information in the practice management system.
Coordinate with dental staff to manage appointment slots, cancellations, and urgent patient needs.
Provide patients with necessary information regarding appointments, treatments, and office procedures.
Ensure reminders are sent via phone, text, or email to minimize no-shows.
Handle patient inquiries with professionalism and escalate concerns when needed.
Maintain confidentiality of patient records in compliance with HIPAA regulations.
Assist with administrative tasks such as verifying insurance or preparing schedules when required.
Support overall patient satisfaction by delivering excellent service and communication.
Qualifications:
High school diploma or equivalent (some college preferred).
Previous experience in appointment scheduling, dental/medical front office, or customer service is highly desirable.
Excellent verbal and written communication skills.
Strong organizational and time-management abilities.
Comfortable working with scheduling software, EMR/EHR systems, and Microsoft Office tools.
Ability to multitask and remain calm under pressure.
Reliable internet connection and quiet remote workspace.
